Executive Assistant to the CEO

Directly reporting to the CEO, this position is responsible for providing administrative support for the CEO and key members of the executive management team.

Key Responsibilities

  • Support CEO in daily activities, acting as an ambassador for them within the agency and with clients.
  • Maintain relationships with individuals critical to the CEO’s and executive management’s role within the agency.
  • Coordinate production of projects involving PowerPoint, word processing, proofreading, editing, Xeroxing and binding; arrange for special vendor services when necessary.
  • Manage CEO’s calendar and meetings, rescheduling events/meetings as appropriate.
  • Coordinate details for scheduling office and client meetings; confirm travel/hotel arrangements; process expense reports.
  • Facilitate the creation and fulfillment of freelancer/contractor Invoices.
  • Initiate and coordinate meeting rooms, catering and room set-up arrangements for client and internal meetings, lunches, dinners, and new business presentations.
  • Maintain and process confidential information with discretion and efficiency.
  • Respond to requests for information from clients, account staff and other agency employees in a professional and timely manner.
  • Prioritize workload and be available to assist team and other agency staff when needed in crisis situations. 
  • Follow through on all projects to ensure thoroughness and flawless quality on all assignments.
  • Cultivate and apply strong organizational and interpersonal skills, including the ability to juggle multiple assignments and copy with stressful situations.
  • Maintain files to ensure information is periodically updated. 

Requirements

  • Completion of the 12th grade; supplemented by specialized courses.
  • Five to seven years administrative support experience.
  • Proficiency in English, grammar, spelling, punctuation, and mathematics.
  • Excellent written and verbal communication skills.
  • Knowledge of contemporary business procedures.
  • Proficient with Microsoft Word, Excel and PowerPoint.
